How Much to Charge for Photo Booth Rental

It's the question everyone asks when setting up their events business: how much do I charge to rent out my photo booth? There's no universal figure —the rate changes by area and season—, but there is a method to calculate yours and never work below cost. Let's build it.

The factors that move the rate

  • Service hours: the sector's basic unit. Most packages start at 2-3 hours, and each extra hour is charged separately, with a per-hour price that drops slightly on longer packages.
  • Type of equipment: a classic photo booth isn't charged the same as a magic mirror or a 360 platform. The more spectacular and less common the equipment is in your area, the more rate margin you have. A 360 photo booth tends to sit at the high end for its "wow" effect.
  • Season and day of the week: a Saturday in May isn't worth the same as a Tuesday in November. High-demand dates justify higher rates; off-peak days are the opportunity for corporate events and promotions.
  • Geographic area: market ranges vary notably between large cities and rural areas, depending on purchasing power and local competition. Research what's charged in your area before setting anything.
  • Extras included: unlimited prints, a guest book, themed props, support staff during the event, custom templates, digital delivery of the photos. Each extra adds perceived value and ticket size.
  • Travel: beyond a certain radius, transport is billed separately. Not charging it is an invisible discount that erodes the margin.

How to calculate your minimum rate

Your minimum rate per event is the figure below which you lose money. It's calculated in three steps:

  • 1. Direct event costs: consumables (paper, ink), fuel and tolls, the hours of the person attending the equipment if it isn't you.
  • 2. Proportional share of fixed costs: equipment depreciation (purchase price divided by the events it will do over its useful life), insurance, sole-trader contributions, website and marketing, spread across the events you estimate doing per year.
  • 3. Your target margin: what you want to earn per event after covering everything above. Without a margin there's no business, there's an expensive hobby.

The sum of the three is your floor. From there, your area's market and the season set the ceiling. To size up the depreciation you need to know how much the equipment costs: you have the ranges in our photo booth pricing guide, and the full profitability method in how to make a photo booth profitable.

The packages that work best

Selling by packages simplifies the client's decision and raises the average ticket. The classic three-tier structure works because most people choose the middle one:

  • Basic: 2 hours of service, standard prints and basic props. It's the entry point and your "from" price.
  • Complete: 3 hours, unlimited prints, a guest book and a custom template. By far the best-seller at weddings.
  • Premium: extended hours, support staff, custom themed props and full digital delivery. For large weddings and corporate events.

Tip: name the packages by what they include, not by "bronze/silver/gold", and always leave the extras separate (additional hour, second album) to personalize without redoing the offer.

Frequently asked questions

How much do you charge to rent a photo booth for a wedding?

It depends on the area, the season, the hours and the type of equipment: market ranges in Spain vary widely between a basic weekday package and a premium one on a high-season Saturday. What matters is that your rate never drops below your cost per event plus your target margin.

Do I charge more for a 360 photo booth than for a classic one?

Yes, that's usual: the 360 generates video, requires more setup and has a greater spectacle effect, and the market accepts higher rates for it. It's one of the reasons many businesses expand their fleet with a 360 unit in their second season.

Should I publish my prices on my website?

Publishing at least the "from" price of the basic package filters out the curious and saves unproductive calls. You can present the higher packages on a quote basis to tailor them to each event. If you don't have equipment yet, start by looking at the photo booth catalog and calculate your payback before setting rates.
